Why office moves need a different approach

An office move is fundamentally different from a home move. You're not just shifting furniture — you're relocating a functioning business. Every hour of downtime costs money. Every misplaced file, disconnected server, or damaged monitor can disrupt operations for days.

That's why we treat office relocations as project management exercises, not just packing jobs. We assign a dedicated move coordinator who works with your facilities team to create a detailed relocation plan — covering timelines, floor layouts, IT infrastructure, and employee communication.

Our goal is simple: your team leaves the old office on Friday evening, and walks into a fully set up new office on Monday morning. Everything in its place, every workstation ready, every cable connected.

Our office relocation process

Phase 1 — Site assessment & planning

We begin with a thorough assessment of both your current and new office spaces. Our move coordinator visits both locations to understand the layout, inventory, access points (lifts, loading docks, parking), and any restrictions (building management rules, permitted moving hours, noise regulations).

Based on this assessment, we create a detailed move plan that includes: a complete inventory of all items (furniture, IT equipment, files, pantry items), a floor plan for the new office showing where each item goes, a timeline with specific milestones, and a communication template you can share with your employees.

Phase 2 — Pre-move preparation

Before moving day, we handle several preparatory tasks. We supply colour-coded labels and crate tags for each department or zone. We coordinate with your IT team to schedule server shutdowns and network disconnections. We arrange for any special equipment needed — trolleys, ramps, hoisting gear for heavy items.

We also conduct a pre-move briefing with your office manager or facilities team to confirm the plan, address any last-minute changes, and ensure everyone knows the timeline.

Phase 3 — IT equipment packing

IT equipment requires specialised handling. Our team uses anti-static bubble wrap and foam for servers, CPUs, and monitors. Each workstation is photographed before disconnection so we can replicate the exact cable setup at the new location. Hard drives and sensitive equipment are packed in padded, shock-resistant cases.

Server racks are handled by our trained IT-move specialists who understand the importance of proper shutdown sequences, cable management, and climate-controlled transport for sensitive hardware.

Phase 4 — Furniture & general packing

Office furniture — desks, chairs, conference tables, filing cabinets, whiteboards — is dismantled where necessary, wrapped in protective blankets, and loaded systematically. Modular workstations are disassembled panel by panel with all hardware labelled and bagged.

Files and documents are packed in secure, sealed boxes with tamper-evident tape. Confidential documents can be handled separately with chain-of-custody documentation if required.

Phase 5 — Transport & setup

We use enclosed vehicles with air-ride suspension for sensitive equipment. Loading follows a reverse-order plan — items needed first at the new office are loaded last. At the destination, our team sets up everything according to the pre-agreed floor plan.

Desks are assembled, chairs placed, monitors connected, and IT equipment reinstalled. Our team works with your IT staff to ensure network connectivity is restored and all systems are operational before we leave.

Phase 6 — Post-move walkthrough

Once setup is complete, we do a walkthrough with your facilities manager. Every item on the inventory is checked off. Any issues are documented and addressed on the spot. We also handle disposal of packing materials and old furniture if you need it.

Types of office moves we handle

  • Small offices (5–20 employees) — startups, co-working transitions, small teams moving to a new floor or building
  • Mid-size offices (20–100 employees) — growing companies, branch relocations, floor expansions within the same building
  • Large corporate offices (100+ employees) — phased moves across weekends, multi-floor relocations, campus-to-campus shifts
  • Server room & data centre moves — specialised handling with anti-static packing, climate-controlled transport, and IT coordination
  • Co-working to private office — transitioning from shared spaces to dedicated offices with all furniture and IT setup
  • Warehouse & storage facility moves — inventory relocation with systematic labelling and placement

IT equipment we handle

  • Workstations — desktop computers, monitors (single and dual), keyboards, mice, docking stations, webcams
  • Servers & networking — rack-mounted servers, NAS units, switches, routers, patch panels, UPS systems
  • Printers & peripherals — laser printers, multifunction devices, scanners, plotters, shredders
  • Conference room equipment — projectors, smart TVs, video conferencing systems, soundbars, whiteboards
  • Telephony — IP phones, PBX systems, intercom units
  • Cabling — Ethernet cables, power strips, cable management trays (re-routed at new location)

Office relocation pricing guide

Office move pricing depends on the number of workstations, volume of furniture, IT equipment complexity, distance, and whether the move happens during business hours or on weekends. Here's a general guide:

Small office (5–15 workstations, local move): ₹25,000 to ₹60,000 — includes furniture, IT packing, transport, and basic setup.

Mid-size office (15–50 workstations, local move): ₹60,000 to ₹1,50,000 — includes dedicated move coordinator, phased packing, IT-safe handling, and full setup.

Large office (50+ workstations, local move): ₹1,50,000 to ₹4,00,000+ — includes project management, multi-day phased move, server room handling, and post-move support.

Intercity office moves: Add 30–50% to the above ranges depending on distance, vehicle requirements, and transit insurance.

Every quote is itemised. You'll see separate line items for packing materials, labour, vehicle, IT handling, and any special requirements. No bundled pricing, no hidden charges.

Minimising downtime — our approach

Downtime is the biggest concern in any office move. Here's how we minimise it:

  • Weekend and after-hours moves — we schedule the physical move for Friday evening through Sunday so your team walks into a ready office on Monday
  • Phased relocation — for large offices, we move department by department over multiple weekends instead of attempting everything at once
  • Pre-staging — packing materials, labels, and crates are delivered days before the move so employees can pre-pack personal items and non-essential files
  • Parallel setup — while one team is still loading at the old office, another team begins setup at the new location
  • IT priority — servers and network infrastructure are moved and set up first so connectivity is restored before furniture placement begins

Frequently asked questions about office relocation

How far in advance should we book an office move?

We recommend booking at least 2 to 3 weeks in advance for small offices and 4 to 6 weeks for larger moves. This gives us time for proper planning, site assessment, and coordination with your IT team. For very large or complex moves, 6 to 8 weeks is ideal.

Can you handle the IT disconnection and reconnection?

We handle the physical packing, transport, and unpacking of IT equipment. For disconnection and reconnection of servers, network configurations, and software setups, we recommend having your IT team or IT vendor on-site. We coordinate closely with them to ensure a smooth handover.

What about confidential documents and data security?

We use tamper-evident sealed boxes for confidential files. Our crew signs non-disclosure agreements for sensitive corporate moves. Hard drives and storage devices are packed in locked, padded cases. If you need chain-of-custody documentation, we provide it.

Do you handle furniture disposal?

Yes. If you're upgrading furniture as part of the move, we can arrange disposal or donation of old items. This is quoted separately and depends on the volume and type of items. We work with authorised recyclers for responsible disposal.
